  • Responsibilities

    This position is responsible for providing administrative support to the CEO and Board with a high standard of excellence.


    Essential Functions

    • Assisting the CEO in maintaining appointment schedules
    • Providing administrative support for the CEO in coordination, preparation and execution of Board meetings
    • Assisting with the coordination of travel and lodging for the CEO as required
    • Assuming responsibility for the security and overall safeguarding and maintenance of corporate records
    • Completing annual corporate filings for Missouri, Kansas, and Goodwill Industries International
    • Completing corporate documentation submittals for various funding sources as designated on annual basis
    • Scheduling candidate interviews, including travel/lodging and expense reimbursement as applicable
    • Administering assessments for RightPath Resources, Inc.
    • Organizing archival materials to allow for greater ease of reference by all departments, including a tracking system for return of materials
    • Coordinating event logistics for off-site Board meetings
    • Maintaining PTO calendar for the Executive Team
    • Verifying Employee Profile Change reports submitted by Payroll on weekly basis
    • Establishing and maintaining status as Notary Public
    • Proofreading internal and external general distribution documents
    • Answering, distributing and prioritizing incoming calls for the CEO as required
    • Accurately coordinating and distributing the receipt of incoming funds, ensuring proper procedures are followed
    • Sorting and distributing all incoming Agency mail
    • Preparing mail correspondence and reports for the CEO and special projects for executive team as needed
    • Maintaining a current list of contact information and term limits for board members
    • Maintaining Board member attendance records for meetings
    • Acting as primary support liaison to the Board
    • Taking notes and creating meeting minutes for board meetings, and distributing copies to board members for review and approval
    • Coordinating new board member orientation and maintaining schedule of annual board meeting dates
    • Coordinating logistics/refreshments for board meetings and special events
    • Securing Board officer signatures on financial, regulatory and other documentation as required
    • Maintaining strict confidentiality of agency staff, financial and personnel matters
    • Promoting the image of Goodwill as a professional, competent organization through professional conduct when interacting with internal and external customers
    • Participating on agency committees and community organizations as requested and communicating information to and from peers as appropriate
    • Participating in management teams and committees as needed or required
    • Demonstrating commitment to the mission of the organization
    • Completing any special projects delegated by executive leadership
    • Perform other duties assigned by the CEO

    • Outstanding prioritization, organizational and time management skills
    • Ability to quickly grasp areas of responsibility and capably implement accepted procedures
    • Ability to multi-task and perform several duties simultaneously without loss of composure, maintaining high quality
    • Solid clerical and administrative skills including proficiency with Microsoft environments and Windows applications
    • Minimum of five years in administrative support, executive-level support preferred
    • Minimum typing speed of 50 WPM
    • Associate degree minimum, Bachelor’s Degree, Nonprofit Management or other relevant certification of expertise preferred. A combination of education and appropriate experience will be considered.
    • Microsoft Office Certified—Proficient Level in Word and Excel
    • Confidence and familiarity with fax machines, copiers, scanners and other office support systems
    • Strong commitment to Goodwill and Goodwill’s mission
    • Energetic and enthusiastic when representing Goodwill
    • Ability to prioritize tasks, manage time and ask for help when needed
    • Works effectively with people in a variety of high-stress situations
    • Is organized, meets deadlines and coordinates small/large projects
    • Communicates professionally and effectively with co-workers, board members, management, volunteers and members of the public at all times, demonstrating positive customer service and an upbeat team-oriented attitude
    • Position requires a valid driver's license and reliable transportation
