The Administrative Assistant is responsible for assisting with the duties of the accounting department to include; vendor relations, data entry, and clerical duties.

  • Faxing or scanning documents as required
  • Typing or re-typing documents as required on letterhead
  • Using office equipment to perform duties such as scanners, copiers and computers
  • Adding and maintaining vendor and customer records including tax exempt vendors / customers
  • Mailing items on behalf of the department, as well as postage
  • Distributing incoming departmental mail
  • Processing change orders for retail stores
  • Processing vouchers and gift cards requests
  • Processing / tracking of WOTC applications
  • Reconciliation of United Way, Supplies and Postage
  • Maintaining petty cash account
  • Filing and maintaining accounts payable records
  • Tracking, reporting and distributing information as needed for meetings
  • Assisting in projects to meet specifications and deadlines
  • Ensuring a high level of confidentiality with sensitive information


Qualifications include:

  • Commitment to mission of the organization
  • Outstanding spelling, grammar and filing skills
  • Comfort with all support duties
  • Ability to maintain confidentiality of sensitive information
  • Ability to spend long hours at a computer terminal
  • Accurate record keeping and data entry skills
  • Proficiency with an Microsoft Office environment and the ability to quickly learn software
  • Proficiency in the use of office equipment such as faxes, scanners and copiers
  • High school diploma or equivalent is required
  • Experience supporting an accountant, accounting department or team preferred but not required
  • Confidence in their ability to support executive-level professionals
  • Recognition of and avoidance of any conflict of interest with staff or clients
  • Effective, appropriate and professional communication and demeanor
  • Outstanding customer service skills, both in person and over the phone
